MICE DESK Launches Hotel Sales and Catering Software

ROCKET Sales & Catering connects the function diary, Banquet Event Orders and PMS handoff in one system

[Leipzig, July 23th 2026] MICE DESK is bringing ROCKET Sales & Catering to market, a software module for the hotel convention sales process that manages event spaces, meeting packages and services in a single system. Available from August 1, 2026. Fifteen hotels signed a letter of intent for the module before development began. MICE DESK plans to roll it out to 100 properties by the end of the year.

The module manages spaces, meeting packages and services in one system, generates the Banquet Event Order (BEO) from that data, and returns every billable item to the property management system (PMS). ROCKET Sales & Catering is available exclusively in combination with ROCKET Core.

Banquet Event Orders: 39 Minutes per Task

A Banquet Event Order - known in some markets as a function sheet - is the working document that summarizes every detail of an event (times, rooms, setups, food and beverage, technical requirements) for kitchen, service and technical teams. MICE DESK's process time study, funded through Germany's research tax credit, broke the 2024 convention sales process down into 34 steps and measured handling times in real time across 3- to 5-star hotels in the DACH region. Creating and maintaining the BEO accounts for a weighted average of 39 minutes per event, or 17.2 percent of total active processing time. A further 42 minutes, or 18.5 percent, goes into recording blocks, meeting rooms, setups and add-on services in the PMS and sales-and-catering tool.

In the system, creating a BEO takes about one minute. Changes generate a new version, and the software notifies the departments affected. Kitchen, technical and service teams work from their own current view — not from yesterday's printout.

Demand Validated Before Development: 20 Interviews, 15 Letters of Intent

MICE DESK validated demand before development began. Since 2025, the company has conducted more than 20 contextual interviews with existing customers and prospects. In spring 2026, fifteen hotels signed a letter of intent — mostly independent properties, plus two smaller groups. By year-end, MICE DESK plans to roll the module out to 100 properties, combining existing customers switching to the module with new customers adopting ROCKET Core, Sales & Catering included, from the start.

Feature Set: Function Diary, BEO Automation, AI Package Builder

All feature blocks are available at launch: a digital function diary with combinable-room logic, BEO generation with AI-assisted version control, master data management with photos, descriptions and capacities in German and English, an AI Package Builder that assembles complete event packages from a short brief, and multi-property management for hotel groups. The AI Package Builder generates proposals; the hotel team reviews and approves them.

The module costs €250 net per month per property, regardless of property size or number of users. It is included at no extra cost in the ROCKET Core XL plan.

PMS Integration: API or RPA

ROCKET Sales & Catering does not replace the PMS. The PMS continues to manage rooms, folios and billing; the module handles the event layer and returns billable items to it. Apaleo is one example of a PMS that specifically opens up third-party integration in the sales-and-catering space. Beyond that, common and less common PMS platforms can be connected in one of two ways: through an API, where the two systems exchange data directly, or through MICE DESK's RPA approach - Robotic Process Automation, where the software operates the hotel's system the way a staff member would, without requiring the vendor to provide an interface.

Master data is available for retrieval via an API. Connected systems, such as online booking engines, draw on the same data set instead of maintaining room descriptions, capacities and images separately.

MICE DESK's onboarding team handles the initial master data setup. The standard setup takes three to four weeks to the first automatically sent proposal request. For PMS platforms with open APIs, the first request can go live within 48 hours. In hotel groups, a new property can be ready to launch within days, with rollouts running in parallel.
